How we handle reports and data.
Klean Up processes reports about public space. We do so with as little personal data as possible and a human check on every photo. Last updated: 21 August 2026.
- Who processes data

- Which data we process
- The location of the report, a description of the waste or cleaning issue, optional photos the reporter uploads or sends via WhatsApp, optional name and contact details if follow-up is needed, and technical data required for security and abuse prevention.
- What we use it for
- To assess, prioritise and follow up on reports, record proof of completion and produce pilot reports for clients such as a municipality, area management, homeowner association or business association.
- On which legal basis
- For public reports we work with the reporter's consent. For execution towards a client, legitimate interest or performance of a contract may also apply. We don't ask for more data than necessary.
- Photos and people in frame
- Preferably upload photos of waste and location, not of recognisable people. If people, licence plates or private details are visible anyway, we use the photo only for assessment and execution and may anonymise or delete it.
- Reports via WhatsApp run through an external Meta service. Send only the information needed for the report. Photos from WhatsApp are reviewed manually and used strictly for Klean Up business purposes.
- How long we keep data
- We keep reports as long as necessary for follow-up, reporting and pilot evaluation. Guideline: reports for a maximum of twelve months, unless longer retention is needed for administration, a dispute or contractual reporting. Non-essential personal data is deleted or anonymised sooner.
- Who else can access it
- Only parties needed for execution: the hosting and database provider, the cleanup team involved and the client of the pilot. We do not sell personal data.
- Security
- The data lives in a secured database. Only authorised people can access it — dashboards and databases are shielded.
- Your rights
- You can request access, correction, deletion or restriction via info@kleanup.nl. Please state as specifically as possible which report it concerns.
